Volunteer for Art Fest

We’d love for you to help make Art Fest: The intersection of Art and Soul an unforgettable celebration for the entire Bastrop community!

Whether you’re an art lover, a people person, or just someone who enjoys lending a hand, there’s a place for you on our Art Fest Volunteer Team.  It’s a short-term commitment – just a two -day event – but your impact will be lasting!

Come be a part of something creative, meaningful, and fun. Everyone is welcome!

Artists

Art Fest Volunteer Opportunities

Volunteers are asked to show up between 15 min (have volunteered before) and 30 min (first time to volunteer) before their shift to receive instructions.

Submissions/In Take

Duties: filling out registration forms, validate prices, etc..

Skills: People skills (patience/questioning); simple computer data entry

Dates: September 15 & 16

Times: 9 am-6 pm each day

Shifts: 3-hour shifts available

Tagging Artwork

Duties: create tags for entries and confirm pricing, support artists in filling out forms

Skills: People skills (patience/questioning), neat handwriting, handling artwork

Dates: September 15 &16

Times: 9 am-6 pm each day

Shifts: 3-hour shifts available

Set up – Gallery Set Up

Duties: Set up tables/partitions, retrieve items from upstairs storage

Skills: physical strength to carry or move materials, walking up and down stairs

Dates: September 17, 18 & 19

Times: TBD

Shifts: choose from 3-hour shifts on various days

Set up – Display Art

Duties: put out or hang entries/match item to wall plaques/tagging artwork

Skills: handling artwork (hanging, setting out on tables), attention to detail for tagging

Dates: September 18 & 19

Times: TBD

Shifts: choose from 3-hour shifts on various days

Cashiers

Duties: ring up cash/credit sales, package bought items

Skills: use of Square (will train), attention to detail, people skills

Dates: September 19 & 20

Times: on 19th 4-8 pm; 20th 11-8 pm

Shifts: 3-hour shifts available

Docents

Duties: Welcome and support guests, answer questions, support sales team

Skills: people skills, handling artwork,

Dates: September 19 & 20

Times: on 19th 4-8 pm; 20th 11-8 pm

Shifts: 2- or 3-hour shifts available

Food

Duties: Set up food and beverages, replenish and supervise table, must be 21 or older

Skills: handling food, people skills

Dates and times:

  • Serve Food: Dates/time: September 19th 4-8 pm; September 20th 11-8 pm
  • Take down: Date/Time: September 20th 7 pm
  • Shifts: 3 hour shifts available

Take Down

Duties: take down tables/put away partitions, reconfigure parish hall, return items to upstairs storage

Skills: physical strength to carry or move materials, walking up and down stairs

Dates: September 21

Times: 2-5 pm

Shifts: this will be one shift

ART FEST MANAGEMENT

  • Monitor Leads and participate as needed in accepting submissions and preparing them to exhibit
  • Monitor with Lead and participate as needed in the set up of the room and staging the exhibit
  • Monitor with Lead and participate in set-up including cashier’s area, food area, entertainment
  • area, signs, etc.
  • Monitor with Leads and participate as needed in tracking sales and preparing information for the
  • accountant to issue checks
  • Monitor Leads Recruit volunteers and provide information to them (docents, individuals coming in
  • to help set-up, etc.)
  • Monitor Leads coordinate and schedule entertainment
  • Monitor with Lead to make sure food is purchased and that you know the costs
  • Coordinate with Office Staff to make sure you track the costs of printing, mailing and supplies
  • Monitor Leads Make name tags for artists and volunteers
  • Participate throughout the event as needed
  • Monitor Leads Send thank you notes to all the volunteers
